Weekly Meeting 9: “PROGRESS REPORT!”

This is SRC’s 9th weekly meeting that took place on Thursday, 22nd June 2023 at 9:30PM using Microsoft Teams as their meeting platform. The discussion includes the update on UITS, Prasarana meeting outcome and Food Bank implementation and Miscellaneous topics.

Update on UITS

The UITS proposal has been completed and now waiting to be submitted. The detail of the proposal includes that there will be three series of UITS. The following 3 series are:

  • First Series: Gold Savings to be conducted on Tuesday, 3rd August 2023
  • Second Series: TikTok Contents and Personal Branding to be conducted on Thursday, 10th August 2023
  • Third Series: Artificial Intelligence to be conducted on Thursday, 17th August 2023

The 9 committees from the SRC executives will be involved and the action that will be taken is to add a protocol team to provide master flow of the program and to keep track and assign pictures for each task and event.  The following action will be:

  • Recruit all available SRC executives to form protocol, technical and registration bureau.

The payment for each panel has been proposed to be RM500 however, the charged price might get reduced by STAD. The following changes are:

  • Increase the price from RM4.50 to RM7.00 since students will expect dinner pack food.
  • The quantity should drop from 100 pax to 40 pax instead.

Posters, captions and Google Form for registration and Telegram group have all been prepared.

  • Media bureau should consult with Ammar for the promotional posting.
  • After the proposal has been approved, the committee needs to contact Ashwathi so that she can contact IRC for the auditorium library booking as soon as possible.
  • The honorarium from CCD should be requested via STAD. Finally, the proposal should be reviewed by Ashwathi and Irham first before submitting. The proposal needs to be submitted to STAD by 26th June 2023.

Prasarana Meeting outcome & Food Bank implementation

The meeting went well and most of the presented ideas were accepted. However, few matters were concerned and questioned by the TNC HEPA during the meeting. The most concerned idea was the food bank implementation. The initiative will be the following:

  • All food bank stocks from Masjid UNITEN will be brought to Discussion Room and make it as the main food bank store.
  • A rack will be placed at each residency using the fund from SRC.
  • SRC will request all food bank vendors such as Lotus, KK Mart and more to directly top up the food bank stocks in the Discussion Room.
  • The SRC will ask each Residency to contact SRC whenever the food bank is empty, and they will be in charge in filling the empty rack from the Discussion Room.
  • Ali should find a vendor that can provide the rack for the food bank.

Things Arise

Ammar suggested that SMU, EV and NADi to work exclusively for SRC. However, this idea was rejected since it is not fair for these three organizations to exclusively work for SRC as the initial establishment of these Big 3 were to help other clubs as well.

  • SMU, EV and NADi’s performance are dropping.
  • Reports from SMU, EV and NADi should be submitted every semester and yet they did not submit any report last semester.
  • Ammar will keep asking for the reports from the 3 organizations to decide whether to increase or decrease the funding from SRC to the Big 3 based on the report, indicating their performances throughout the semester (based on MoU).

One of the factors of the organizations’ performance drop is due to lack of members. Therefore,

  • Each organization can encourage exclusive hiring by each existing member encouraging their friends to join the organization.
  • The Bi-weekly report for SRC executives will be starting next week.

The #KITAINTERAKSI has now less reachability and less views. The suggestion is to still proceed with the podcast concept. The following action will be:

  • Each long podcast should be posted in YouTube and whereas a short 30 seconds to 1 minute clip should be posted on Instagram reels and TikTok video.
  • The short content should be some of the highlighted and most interesting content from the long podcast video.
  • All SRC members must contact each other for any task to be submitted and at least two days prior since most of the SRC members will undergo internship.
