Weekly Meeting 12: “MOVING FORWARD”

This is SRC’s 12th weekly meeting that took place on 11th August 2023 at 9:30PM using Microsoft Teams as their meeting platform. The discussion includes the Discussion on Big 3, Discussion on Club Fiesta, Retreat Proposal Presentation, MPK Discussion and Telegram Renew.

Discussion of Big 3 Incentives

The discussion will be about on how to implement the evaluation that will determine the eligible incentive to the Big 3 for the past semester. Based on this term’s MoU with the Big 3, the evaluation is based on the Big 3’s contribution and semester report throughout the semester. However, no report has been sent to Ammar yet.

For the evaluation, there is no specific KPI that the Big 3 need to achieve as stated in the MoU. Therefore, there will be no evaluation rubrics. The course of action will be to provide a list of KPI for the Big 3.

Two suggestions were raised for this matter:

  • First is to set their KPI and then evaluate their KPI achievement based on their semester report.
  • By claiming which capped at RM500 per semester.
  • The course of action will be to conduct a voting poll by SRC members to decide which implementation suits the best.

Discussion on Club Fiesta

The #KITAUNITEN Club Fiesta 2.0 for the upcoming semester is under Laila as Program Director, and her executives as high committee. Since Club Fiesta is an SRC program and requires huge preparation for this big event, this event should include SRC members as high committee instead to ensure smooth preparations and execution for the event. The course of action is to conduct a special discussion to restructure the event committee.

Retreat Proposal Presentation

The Following are the details of the Retreat Proposal:

  • Name: MPP Care
  • Date: 14-15 October 2023. This date is chosen because on 16 October 2023 will be the first day to submit SRC nomination form.
  • Objective: Early exposure and sharing to SRC apprentices on steps to become SRC members as well as things to expect and prepare in SRC.
  • Involvement: SRC from Putrajaya Campus and SRC apprentice (around 35 pax), maximum is 40 pax (based on the requirement of the proposed venue). Currently, this event does not include Big 3 to avoid over participation and additional cost.
  • Budget: RM 5000

The following are the suggestions for the Venue:

  • Camping ground at Hulu Langat which was proposed by Ali.
  • Houseboat which was agreed by majority of the SRC members.
  • Resort, the last option if the previous two choices were rejected.
  • Course of action: To find a suitable houseboat that fits budget range of RM 6000 – 5000.

MPK Discussion

Based on all meetings with DD SAER from UBS, CCI, CCEd, and COE, most of them except CCEd, opposed the idea of having MPK (Majlis Perwakilan Kolej or Colleges’ Representative Council) since it will provide another layer of bureaucracy in the hierarchy and therefore it will cause more difficulty instead. Please refer to Minute of Meetings with Ref. No. AM/MPK(1), (2) and (3).

There are two main suggestions on the MPK implementation:

  • Appoint college representatives (which nominated by colleges) as SRC members.
  • Appoint college representatives as SRC executives under Academic portfolio, in which this portfolio will be created for the upcoming term.
  • The second suggestion (1.2) was agreed by majority of SRC members. Action: Present the MPK proposal and minute to DD SAER.

Telegram Renew by Farhan

Farhan presented new implementation to easily manage reporting channel via Telegram, by using Telegram channel. This channel can easily manage the reported issues by topics, i.e. by department e.g. FMS, ITMS etc.

Suggestion is to add Telegram Bot:

  • To help group management to prevent any malicious links.
  • To prevent spam messages.
  • To provide common guides on certain matters and much more.

The course of action to take is to complete a design prototype for the channel and to present at next weekly meeting for QC.
